Ecc Portal ("the app") is an employee self-service app provided by Centione. It is used by employees of companies that run their human resources on the Odoo platform. This policy explains what information the app handles, why, where it is kept, and the choices you have.
1. Who is responsible for your data
Your employer decides what HR information is kept about you and controls it; your employer is the data controller. Centione provides the software, and processes information only on your employer's behalf and to deliver the app's features. The app has no public sign-up: accounts are created and removed by your employer.
2. Information the app handles
The app shows and sends information held in your employer's HR system:
- Account and contact details: your name, work email and phone number.
- Employment details: job title, department, manager, hire date and similar HR record fields.
- Attendance: check-in and check-out times, hours worked, late arrivals and missing punches.
- Requests you submit: leave, excuses, missions, overtime, attendance corrections, salary advances and staff loans, and resignation, including their status.
- Pay information: your confirmed payslips, including earnings, deductions and net pay.
- Files you choose to attach to a request, such as a supporting document. The app only reads a file you pick yourself; it does not access your photos, contacts, location, camera or microphone.
- Sign-in information: your work email and password (or a one-time code) when you sign in, and a device name sent with the sign-in request.
3. How the information is used
The information is used only to provide the app's features: signing you in, showing your HR records, and submitting your requests to your employer for approval. It is not used for advertising, profiling or marketing, and it is not sold.
4. Where the information goes
The app connects directly to your employer's own HR server, whose address is set when you sign in. Your information is sent to and received from that server only. The app contains no advertising, analytics or crash-reporting services and does not send your information to any other third party.
5. What is stored on your device
- Your sign-in tokens are kept in your device's secure storage (Keychain on iOS, encrypted storage on Android and Windows). Your password is not stored.
- Your name, work email, account identifier, the server address and your app settings (language and theme) are kept in the app's local storage so you stay signed in.
- Payslip details are not saved on the device and are never written to logs.
Signing out removes the sign-in tokens and your account details from the device; only the server address is kept, so the next sign-in does not have to enter it again. Uninstalling the app removes all of its data. The app is excluded from Android cloud backup.
6. Security
Sign-in tokens are held in encrypted device storage, and the app does not keep your password. How the connection to your employer's server is protected, including encryption in transit, is set up by your employer's IT administrators. No method of storage or transmission is completely secure, but we work to protect the information the app handles.
7. How long information is kept
Information on the device is kept until you sign out or uninstall the app. Information on your employer's HR server is kept according to your employer's own policies and applicable law.
8. Your rights and choices
You can sign out at any time to remove your data from the device. To access, correct or delete your HR records, or to have your account closed, contact your employer's HR department, which manages your account. You may also contact us at the address below and we will pass your request to your employer.
9. Children
The app is intended for employees only and is not directed at children.
10. Changes to this policy
We may update this policy. The effective date above shows when it last changed. Significant changes will be communicated through the app's store listing or by your employer.
